Throughout the website development project, we will be storing all website materials in a shared folder inside Dropbox, to which both you and us will have access.

Creating a Dropbox account

If you already have a Dropbox account, then you can accept our share request, and the shared folder will appear in your account. If your Dropbox login uses a different email, let us know what that is, and we can share with that email instead.

If you do not yet have a Dropbox account, go to https://www.dropbox.com/ and choose "Sign up for free", and follow the instructions to create a free account. The free account will allow up to 2GB of storage in your account. Then, let us know which email address you used to sign up, and we can share the folder with that email.

Accessing the shared folder

You can access the shared folder in one of two ways:

  1. Through a web browser, by first logging in to https://www.dropbox.com/ if you aren't already, then navigating to "All files" and then opening the folder we shared with you. From here, you can upload new files through your web browser.
  2. Through a synced folder on your computer, by installing the Dropbox app from https://www.dropbox.com/install, following its installation instructions, waiting for the files to sync to your computer, then accessing the new "Dropbox" folder on your computer through File Explorer (Windows) or Finder (Mac).

If you just need to upload some files once or twice, the web browser option is simpler. If you expect to do a lot of file management (organising, renaming, etc.) and referring back to existing materials, the Dropbox app will make it easier so you can do that management inside a regular folder on your computer.

Folder structure and naming

Here are some tips for making website content easier to organise:

  • Brand folder:
    • Use this to store logos, style guides, and other brand materials
  • Content folder:
    • Keep all text content in the Content Planner document
    • Include PDFs and other downloadables or content materials here
  • Photos folder:
    • Organise photos into folders for each page, feature, or concept
    • Rename photos according to their purpose or caption (the filenames will stay the same when uploaded to the website)

Notifying us of changes

When you have added all files necessary for a specific task, please reply on the ticket to confirm when you would like us to act on the changes (we don't receive notifications from Dropbox when you've added files).
