Filtering spam email in Outlook Print

There are a couple of ways you can automatically filter out or delete emails that your email service flags as 'Spam'.

When the email service determines that an email is spam, it will prefix the subject with   ***SPAM***  . It's possible to filter emails based on this.

Method 1 - cPanel's Spam Box

Login to cPanel (either through our Client Area or directly by going to https://yourdomain.com.au/cpanel, replacing yourdomain as appropriate), then go to Spam Filter, and check the box labelled "Move New Spam to a Separate Folder (Spam Box)".

This will create a folder in your email that will now contain suspected spam, which you can check periodically if you wish.

Method 2 - Outlook Rule

These instructions will assist you in setting up Outlook's "Rules" to automatically move into another folder email that has been identified as possible spam. This relies on Outlook running so is less effective than Method 1 if you access email on multiple devices.

You may need to adjust the following steps depending on which version of Outlook you use.

  1. Create a new rule by:
    • In Outlook 2003 or 2007, go to Tools > Rules and Alerts > New Rule
    • In Outlook 2010, in the Home tab, click Rules > New Rule
  2. Choose "Start with a blank rule"
  3. Under "Select when messages should be checked", select "Check messages when they arrive"
  4. Follow the instructions
  5. When asked for the test to apply, you want to check the subject line for the text  ***SPAM***  or whichever text has been included in the subject line to assist you in identifying possible spam.
  6. When asked for the action to use, you want to move the mail into a different folder. You may wish to create a folder called "Spam" for this purpose.

Herein, any email that arrives with the phrase  ***SPAM***  in the subject line -- that is, possible spam -- will automatically be moved to the spam folder you specified.

You should check that spam folder once a day, and clear out its messages, to ensure no legitimate mail is missed.
